Job Title: Schedule Coordinator II

Position Summary:
The Schedule Coordinator II is responsible for both the hands-on execution of provider schedule changes and the independent review, analysis, and optimization of all provider schedules for Regenerative Orthopedic Center (ROC). This onsite role performs the same core scheduling functions as Schedule Coordinator I and, in addition, carries responsibility for daily schedule review, call schedule design and management, facility utilization analysis, and maintenance of clinic scheduling and vacation protocols. The Schedule Coordinator II provides functional oversight and work direction to the Schedule Coordinator I while retaining ownership of scheduling outcomes.
Essential Duties & Responsibilities:
Schedule Execution, Review & Governance
- Perform all schedule change and correction tasks required of Schedule Coordinator I.
- Independently review completed schedule updates for accuracy, operational impact, and downstream effects.
- Identify, correct, and prevent scheduling conflicts or inefficiencies.
- Maintain and enforce clinic scheduling standards and vacation protocols.
Daily Schedule Review & Optimization
- Conduct daily review of provider schedules to ensure efficient use of clinic space, staffing resources, and provider
availability. - Analyze utilization patterns and proactively adjust schedules as appropriate.
- Partner with the Operations Manager and clinic leadership to resolve capacity or coverage issues.
Call Schedule Design & Management
- Design, build, and maintain provider call schedules.
- Monitor call schedules for coverage gaps, equity concerns, and compliance with internal guidelines.
- Implement and manage updates related to provider leave, coverage changes, and unplanned absences.
Facility & Resource Coordination
- Oversee provider facility assignments across clinic locations.
- Analyze provider distribution to reduce underutilized clinic time or staffing strain.
- Support provider onboarding, leave planning, and clinic growth through proactive schedule planning.
Functional Oversight
- Provide day-to-day work direction and quality review for the Schedule Coordinator I.
- Serve as the escalation point for complex scheduling questions or corrections.
Job Requirements:
- 3+ years of experience in healthcare operations, medical scheduling, or practice administration.
- Demonstrated experience executing and independently reviewing complex provider schedules.
- Strong analytical, organizational, and problem-solving skills.
- Proficiency in EHR scheduling systems (ModMed EMA preferred).
- Clear written and verbal communication.
