Job Title: Total Joint Coordinator

Reports To: Surgical Services Manager

Position Summary:
The Total Joint Coordinator is responsible for supporting the total joint surgery process by coordinating documentation, preparing and distributing required paperwork, and facilitating communication between patients, providers, and surgical facilities. This role ensures all pre-surgical materials are accurate, complete, and delivered timely to support efficient scheduling and a positive patient experience.
Over time, the Total Joint Coordinator will be cross-trained to assist with surgery scheduling to provide vacation and coverage support for the Surgery Scheduling team.
Essential Duties & Responsibilities:
Total Joint Coordination
- Prepare and manage all required paperwork related to total joint surgeries, including patient packets, facility documentation, and internal forms.
- Distribute completed paperwork to appropriate parties, including patients, surgical facilities, vendors, and internal departments.
- Ensure documentation accuracy, completeness, and compliance prior to submission.
- Track the status of paperwork and follow up on missing or outstanding items.
- Serve as a point of contact for patients regarding pre-surgical documentation questions.
- Collaborate closely with surgery schedulers, clinical staff, and providers to ensure readiness for scheduling.
Communication & Workflow Support
- Maintain clear, timely communication with patients, facilities, and internal teams.
- Document coordination activities within the EMR accurately and consistently.
- Escalate issues or delays to the Surgical Services Manager as appropriate.
- Support process improvement efforts related to total joint workflows and documentation efficiency.
Cross-Training & Coverage (Progressive Responsibility)
- Participate in structured cross-training to learn surgery scheduling workflows and systems.
- Provide vacation or short-term coverage support for surgery scheduling once training is complete and competency is demostrated.
- Perform scheduling tasks only within defined coverage expectations and scope.
Other Duties
- Perform additional related duties as assigned to support Surgical Services operations
Working Conditions
- Work is in a fast-paced clinical setting with direct patient interaction.
- Employees may be required to work at all clinic locations based on clinic needs.
- Requires frequent standing, walking, and assisting patients, with occasional lifting of medical supplies.
- Standard clinic hours apply, with possible schedule adjustments based on patient and provider needs.
- Adherence to HIPAA, OSHA, and infection control policies is mandatory.
- Use of Electronic Medical Records (EMR) system for scheduling and documentation.
- Reliable transportation is required for travel between locations; mileage reimbursement may be available.
- Employees must follow the clinic’s dress code (scrubs or professional attire) and maintain a professional demeanor.
